1. Your subscription
Sync2Gear is provided as a subscription service billed monthly in advance, normally on a 12-month minimum term (see section 7). Your subscription begins on the date your plan is activated (your “Start Date”), and each monthly billing period runs from that date. Your subscription gives you access to the platform, audio management features, scheduled announcements, automation and any other features included in your chosen plan for as long as your subscription remains active and paid.
2. Automatic renewal
Unless you cancel in line with this policy, your subscription renews automatically at the end of your term using your saved payment method, at the then-current price for your plan, and continues on a monthly rolling basis thereafter. By subscribing, you authorise us (and our payment processor) to charge the applicable fees on each billing date without further action from you.
3. How to cancel
You can cancel your subscription at any time using either of the following methods:
- In-app: sign in to your Sync2Gear account and use the Cancel subscription option in your account / billing settings; or
- In writing: email info@sync2gear.io with the subject line “Subscription Cancellation Request” from the email address registered to the account, or write to our registered office below.
When cancelling by email, please include your account name, the registered account email and the locations/devices covered so we can verify you are authorised to cancel. We will confirm your cancellation; if you cancel in-app you will see an on-screen confirmation, and if you cancel by email and do not receive an acknowledgement within 3 business days, please contact us again, as your subscription will otherwise continue. Cancelling stops future renewals but does not, by itself, end any current minimum term (see section 7).
4. When your cancellation takes effect
This means any renewal that falls due within your 30-day notice period will still be charged, and your service (and the corresponding charge) will end at the close of that paid period. Submitting a cancellation part-way through a billing period does not shorten it or give a refund for that period. If you are still within a minimum term, see section 7.
5. Effect of cancellation
- You retain full access to the Services until the end of your final paid billing period.
- No further charges are taken after your final paid period ends.
- After cancellation, your account is deactivated and your content, schedules and configuration may be deleted or anonymised in line with our Privacy Policy. Please export anything you need before your subscription ends.
- Cancellation does not relieve you of any charges already due, including the final period and any outstanding invoices.
6. Refunds
One-off charges such as onboarding, setup, configuration, training or any hardware supplied are non-refundable once the work has commenced or the goods have been delivered. If you believe you have been charged in error, contact us within 14 days of the charge and we will investigate in good faith.
7. Minimum term (12 months)
You may cancel within the term to prevent renewal, but cancelling before the end of the minimum term does not entitle you to a refund of fees already paid, and the remaining monthly fees for the balance of the 12-month term remain payable and may be invoiced as a single amount. After the initial 12-month term ends, your subscription continues on a monthly rolling basis and can then be cancelled with 30 days’ notice as described above. The exact term and any early-exit charges are set out in your order or quote, which prevails if it differs from this section.
8. Non-payment, failed payments & downgrades
If a payment fails, we may retry the charge and may suspend or restrict access until payment is received. Suspension for non-payment does not constitute cancellation, and fees continue to accrue unless and until you cancel in line with this policy. Downgrades take effect from the next billing period and do not generate refunds for the current period.
9. Cancellation by us
We may suspend or terminate your subscription where you materially breach our Terms of Service, fail to pay, or misuse the Services. Where we end your subscription for convenience (rather than for your breach), we will give you reasonable notice and refund any fees you have paid for service not yet provided.
10. Consumer cooling-off rights
Sync2Gear is intended for business customers. If, however, you are a “consumer” under UK law and bought the subscription at a distance, you have a statutory right to cancel within 14 days of entering the contract under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. If you ask us to begin the service during that 14-day period, you may be charged for the service provided up to the point you cancel, and you lose the right to cancel once the service has been fully performed. Nothing in this policy affects your statutory rights as a consumer.
11. Price changes
We may change subscription pricing. We will give you reasonable advance notice of any price change before it takes effect on a renewal, so you can decide whether to continue or cancel under this policy.
